2. Email Correspondence and Contract: Please read all email communications carefully, including the content and pricing details. Once you make a booking, all email conversations will form part of your contract with us.

3. Personal Belongings: Epic Yatra is not responsible for any loss of personal belongings left behind in vehicles or hotels. Please ensure your belongings are taken with you at all times.

4. Identification Requirement: As per the Government of India’s directive, both Indian and foreign nationals must provide valid identification at check-in. Accepted identification documents include a passport and visa, voter ID card, or current driver’s license, all of which must feature a photograph. Accommodation providers may deny stay if proper identification is not provided, and Epic Yatra will not be held liable for any issues regarding ID proof.

5. Accommodation Policies: For additional adults, some hotels may offer an extra mattress instead of an extra bed. Kindly inform us in advance if you prefer a bed instead of a mattress. If you have medical conditions or allergies (especially food-related), please inform us before the tour. Some hotels may not have lifts; if you are uncomfortable with stairs, please inform us in advance.

6. Hotel Check-in/Check-out: Hotel check-in time is typically 14:00 hrs, and check-out time is 11:00 hrs. Early check-in or late check-out may incur extra charges and is subject to availability. Please directly contact the hotel if you wish to request complimentary early check-in or late check-out.

7. Hotel Services & Additional Charges: Normal packages do not include extra charges for amenities such as room heaters, Wi-Fi, room service, or food packing. If these services are used, payment must be made directly to the hotel. If meals are included in the package, they will typically be served in a set menu (buffet, fixed menu, or meal credit basis). Additional items outside the set menu will incur extra charges, payable directly to the hotel.

8. Vehicle Issues & Delays: In the event of a vehicle breakdown due to technical reasons, we will attempt to arrange an alternative vehicle as soon as possible. For minor issues, the vehicle will be repaired promptly. We are not responsible for delays or alterations to the program due to natural disasters, flight cancellations, accidents, weather, sickness, political unrest, or similar unforeseen events.

9. Vehicle Usage & Driver Hours: Our vehicles will operate within city limits or as outlined in your itinerary. For extra sightseeing, off-route tours, or alternative sightseeing, please inform us in advance. Driver working hours are limited to 12 hours per day; additional hours will incur extra charges.

10. Hill Areas and Travel Restrictions: In certain hill areas, travel after sunset or the use of music in vehicles may be prohibited due to safety concerns. Guests are expected to comply with these regulations.

11. Additional Costs for Sightseeing: Some tourist destinations or hill stations may have “no entry” zones or parking areas located far from the sightseeing spots. Guests will be responsible for additional costs for transport or parking at these locations. Any additional sightseeing or changes in the itinerary may incur extra charges.

12. Change of Route or Destination: Epic Yatra reserves the right to change the route or destination due to unforeseen circumstances. Such changes may result in an increase in the price of the tour.

13. Price Fluctuations: Rates are subject to change depending on fluctuations in fuel prices (diesel/petrol) or other factors. If the fuel price increases by more than 5% from the time of booking, we reserve the right to adjust the rate accordingly.

14. Substitute Vehicle: Epic Yatra reserves the right to provide a similar vehicle if the originally booked vehicle is unavailable.

15. No Refunds for Unused Services: Refunds will not be provided for unused services, including early departures, missed sightseeing, or unutilized hotel facilities.

16. Force Majeure: No refund or cancellation will be made due to circumstances beyond our control, such as bad weather, natural disasters, political unrest, strikes, or other events like roadblocks, terrorism, or other emergencies.

17. Limitation of Liability: Epic Yatra is not liable for any accidents, injuries, deaths, or theft of personal belongings during the tour.

18. Cancellation and Refund Policy: Epic Yatra reserves the right to cancel any service or booking if the full payment is not received. The company also reserves the right to modify the services offered at any time without prior notice.

19. Jurisdiction: All legal matters and disputes will be subject to the jurisdiction of Gautam Buddh Nagar, Uttar Pradesh, India.

20. Disclaimers: Epic Yatra disclaims any implied warranties, including those imputed by laws of any jurisdictions other than India.
